Distributing PowerPoint Presentations to People Who Do Not Have PowerPoint

When you create a PowerPoint presentation to be run on another computer, you have three options for distributing the presentation file:

  1. You can simply copy the PowerPoint file (.ppt) to the destination computer. This option works well if you have a simple presentation (with standard font — like Arial — and no linked files) AND the destination machine contains Microsoft PowerPoint.


  2. If your presentation contains non-standard fonts or linked files AND the destination machine contains PowerPoint, you can use the PowerPoint Pack and Go Wizard. The Pack and Go Wizard packages together all the files and fonts used in the presentation.


  3. Finally, what do you do if you want to run a PowerPoint presentation on a machine that does not have PowerPoint? You simply use the Pack and Go Wizard to copy the PowerPoint Viewer with the presentation.

The PowerPoint Viewer

The PowerPoint Viewer is a program used to run slide shows on computers that don't PowerPoint installed. You can add the Viewer to the disk that contains the presentation using Pack and Go Wizard. Then, you can unpack the Viewer and presentation together and run the slide show on another computer. You can even create a play list to use with the Viewer so you can run multiple presentations, one after another.

To pack up a presentation for use on a computer that does not contain PowerPoint

  1. Open the presentation you want to save to a disk.


  2. Select File > Pack and Go.


  3. Follow the instructions in the Pack and Go Wizard. If the presentation contains linked files or TrueType fonts, you can choose your presentation.


  4. When you are prompted, select to include the PowerPoint Viewer.


  5. Finish running the Wizard.

To unpack the presentation to run on another computer

  1. Insert the disk on which you copied the presentation and Viewer.


  2. In Windows Explorer, go to the drive where the disk is located: double click Pngsetup.


  3. Enter the destination to which you want to copy the presentation.


  4. To run the slide show, double-click the PowerPoint Viewer — Ppview.


  5. Select the presentation you want to run. Then, select any desired options.


  6. Click Show.
